Submission Instructions

Following are detailed instructions for each item on the HCCVB Information Submission Form. Most items are not “required” and if something doesn't apply to your information, simply leave it blank.

Choose a Category
Begin by picking which category this information fits under. For example, if this is for a festival, choose “Events.” If it's for a special offer, choose “Packages. If you are unsure which category to choose, or would like to have multiple categories, email media@redwoodvisitor.org .

Name
This is the name of your business, name of the event, attraction, package deal, etc. This could also be the title of an article, for example, “Birds of the Redwood Coast.”

Types 1, 2 & 3
Each category has a list of types, and you may choose up to three types from the drop-down menus to describe this information. The types determine how this information will be found by searches from within the website.

Region
Choose the Humboldt County region that includes your place of business, event location, etc. If your information is countywide, choose “None.”

Location
This field is for describing the special location of your business, event, etc. For example, “At the Humboldt County Fairgrounds,” “In the Bayshore Mall,” or “In Old Town Eureka” would all be locations. If nothing applies, leave it blank.

Street Address
Enter the physical location of your business, attraction or event.

Address 2
Use this line for P.O. Boxes or additional address information, if required.

City, State, Zip
Please provide the complete address information as HCCVB will use this to communicate with you.

Phone Numbers, Fax and Email
Enter your local and toll-free phone and fax numbers, including area code. Double-check your email address so that website visitors can easily contact you.

Contact Person
This field is for internal HCCVB use and will not appear on the website. List the name of the person to whom we should direct our communications. URLThis is the address of your website, which may or may not be “hot linked” from the HCCVB site. Membership hot links are still available for $75 per year commercial and $50 per year nonprofit (email charlotte@redwoodvisitor.org for information). Websites for events and certain other links may be provided free of charge.

Photo
It is very important to provide a high-quality photo of your business, event or other information. Please use the “Browse” button to locate and attach your primary image in a JPEG format, 72 dpi resolution, and 180 by 245 pixels in size. If you have difficulty formatting your photo or other graphics, you can attach a digital file of any size and resolution and HCCVB will try to format it for you.

Caption
Include a succinct caption to accompany your photo! Maximum of 250 characters.

Thumbnail
This is another photo file you need to attach. It can be a smaller version (110 by 110 pixels, 72 dpi JPEG) of the first photo, a section of that photo, or ideally an entirely different image. This little photo appears next to the name/title of this information when it is found by a website search, and becomes one of the links to your full information record.

Map or Graphic
Here you can attach a supplementary graphic file such as a map to your location, your logo, an illustration or a secondary photograph. The requirements are again a JPEG format, 72 dpi file of 180 x 245 pixels in size.

Mapquest Link
This is the URL that links directly to the MapQuest site showing your location. Go to www.mapquest.com and input your business name and/or address to generate a MapQuest location map. Then copy the entire URL from the top of that page and paste it into the Mapquest Link field on your HCCVB submission form.

Hours
This field can be used for your normal business hours, the open hours for an event, show times, etc. If applicable, enter the range, ie, “9:00 am to 5:00 pm,” or seasonal hours, ie, “Open Sunrise to Sunset.” CostYour room rates, ticket price, entry fee, etc. may be entered in this field. You may set a range, ie, “$95 to $205 Double Occupancy,” or “Entrees from $8 to $48.” You may also include a description, such as “Guided Tour $5 per person,” or “$15 evening performances, $10 matinees.”

Rooms
This field is specifically for lodging businesses to list the number of guest rooms at their facility.

Description
Provide a short (250 characters maximum) but attention-grabbing description of your business, event, offer or other information. This is the text that will appear next to your Thumbnail photo on the search results page, and its job is to get the website visitor to click through to your full-page report. Be creative and compelling!

Starting Date, Ending Date
For multiple-day events, sales and other special offers, theatrical run dates, or other limited date information, put in the first and last day here. For single-day events/information, input the date into both fields.

Key Words
The HCCVB website has a site-wide search of the entire database, in addition to the category-specific searches. The site-wide search is based on the name field and the key words field, so enter all the key words you think visitors may use to search for your information. For example, a bed and breakfast inn might enter “bed & breakfast, inn, romance, Victorian, lodging, Ferndale.”

Narrative
Here is where you get to tell your story! Paste in the text from your website or brochure, or write entirely new copy about your business, event, package deal, etc. There is no limit to the length of this information, but don't forget that shorter is sweeter. Remember to describe your special amenities, guest services, schedule of activities and whatever else makes you special.

Directions
How can people find you? Provide written directions and assume that the website visitor doesn't know his way around Humboldt County. For example: “To reach Lady Bird Johnson Grove, take Highway 101 approximately 36 miles north of Eureka. Just 1.5 miles north of Orick is Bald Hill Road. Turn east and follow for 4.3 miles until you reach the Lady Bird Johnson Grove parking lot and footbridge.”
